What?What is AI – and what is an LLM?

Artificial intelligence (AI) is software that takes on tasks which previously required human thinking – understanding, summarising and writing text. The most important tools are large language models (LLMs) such as GPT, trained on vast amounts of text. They do not “know” anything; they calculate the most likely sensible answer – and by now they do it remarkably well.

Benefit?What does AI do for a small business?

Above all it saves time: AI takes on routine work such as emails, quotes, minutes and documentation – and makes company knowledge easier to find. Small teams report several hours saved per week and per employee. The best way in is a single, clearly defined use case rather than a large project.

Law?Is ChatGPT GDPR-compliant at work?

The free version of ChatGPT is not suitable for company or customer data – business editions with EU data storage and a data processing agreement can be used in a GDPR-compliant way. In those editions your input is not used for training. What matters are proper company licences and a clear policy on which data may be entered.

Cost?What does introducing AI cost?

To get started you usually pay licence costs of roughly €20–60 per user per month, plus a one-off package for setup, policy and training. A first pilot project therefore often sits in the low four figures and frequently pays for itself within a few months. We give you exact figures after the free initial call – as a fixed price.

Jobs?Does AI replace employees?

No – AI replaces tasks, not people: it takes on the legwork while judgement, responsibility and customer contact stay with your team. In smaller businesses facing a skills shortage the goal is relief, not redundancy. Handing over routine work leaves more time for the work that really drives revenue and quality.

Practice?Which tasks suit AI – and which do not?

Recurring text and data tasks with a clear pattern are a good fit: summarising, drafting, writing minutes, answering standard questions. AI is unsuitable for final decisions with legal or financial consequences and for anything without human oversight. Our rule is therefore simple: the AI prepares the work, a person decides.

Common questions

AI in smaller businesses – briefly explained

Is AI worthwhile for small and medium businesses?
Yes – there in particular. Even single use cases such as automated quotes, draft emails or a support chatbot save noticeable time. We deliberately start small with a pilot project that pays off quickly instead of an expensive large-scale programme.
What does introducing AI with NK IT Service cost?
That depends on the use case. As a guide: licences for business AI tools usually cost around €20–60 per user per month, plus a one-off package for setup, policy and training – a first pilot often sits in the low four figures. After the free initial call you receive a fixed-price quote with no hidden costs.
Is using AI GDPR-compliant?
Set up correctly, yes. We use business editions with EU data storage and a data processing agreement (for example Microsoft Copilot in the EU data boundary) or local AI models where your data never leaves the building. Policies, training and the EU AI Act classification are part of the package.
Is our data used to train third-party AI models?
Not in the business and enterprise editions we set up – using your input for training is contractually excluded there. The risk lies in free private accounts used by employees. That is exactly why proper company licences and a clear AI policy are part of every rollout.
Do we need our own servers for AI?
Not necessarily. Secure cloud services are enough for many applications. If your data is particularly sensitive we set up local AI models on your hardware – then everything stays in-house. We advise you on what makes sense and pays off in your case.
Which AI tools do you use?
We are vendor-independent: Microsoft Copilot, ChatGPT/Azure OpenAI and open-source models (for local installations, for example). What matters is not the tool but the use case – we pick the technology that fits your goal.
How quickly will we see results?
Depending on the use case, a first pilot is often in productive use within two to four weeks. Because we start with a clearly defined use case you see the benefit quickly and then decide on further expansion based on real figures.
Does our team need AI expertise?
No. We handle setup and integration and train your team on their own everyday tasks. The goal is for AI to become a natural part of daily work – not for anyone to become a computer scientist.
What happens when the AI gets it wrong (hallucinations)?
Language models can produce answers that sound convincing but are wrong. We therefore design use cases so that the AI works with your own data (RAG), sources are traceable and a person checks before anything goes out. We deliberately do not build fully automated decisions without oversight.
What does the EU AI Act mean for our business?
For most applications in smaller businesses, such as writing assistants or chatbots, the obligations are manageable: transparency, documentation and, since 2025, training staff in the use of AI. High-risk applications are rare in this segment. We classify your use cases and supply the policy and proof of training with them.
